Software for dental clinics: the DentalMEP Club membership app and back office

DentalMEP turned its patient club into a digital product: membership, invoices, coupons and visits from the phone, with a back office that runs the whole ecosystem from the clinic itself.

The challenge

DentalMEP is a Spanish dental clinic that runs a membership club: member patients get benefits, coupons and a different kind of follow up. That model lives on a continuous relationship, not on the one off visit.

A membership club without a digital product is a list of names: with no owned channel, the benefit has to be brought to each patient one at a time.

  • Memberships and payments by hand: each member's status and billing were handled manually.
  • Fragmented communication: there was no direct channel to patients for benefits or content.
  • No coupon platform: the benefit existed with nowhere to live and no way to measure it.

The cost was that the clinic kept the club running on administrative work, and that puts a ceiling on how many members it can hold.

The solution

We built the club as a two sided digital product: an app where the member handles everything from their phone, and a back office where the clinic runs the full ecosystem.

The piece that organizes the system is membership status: the app checks it is current before enabling each feature, so the business model lives in the logic rather than in a reminder.

The member app

  • Dental visit management, with history and automatic appointment reminders.
  • Invoice lookup and membership payment from the phone.
  • Access to benefits and coupons, plus clinic and location information.
  • An educational blog and notifications, which is the direct channel that was missing.

The clinic back office

  • Member management: signup, edits, cancellation, membership status and activity history.
  • Invoices loaded and tied to each member, with PDF download and payment control.
  • Coupon creation with expiry control and redemption tracking.
  • Visit scheduling with changes and automatic notifications.

Content and communication

  • A content management module to publish educational articles straight into the app.
  • Automatic emails and notifications, with no manual work per send.

Architecture and technology

  • A mobile application for the patient and a web back office for the clinic.
  • Payment system integration for membership billing.
  • Automatic notification and email system.
  • An architecture ready to add features and scale to more clinics.

The result

The club stopped being held together by administrative work and started running as a digital product with a life of its own.

The baseline is the manual handling that came before the app.

Starting point

  • Manual handling of appointments and memberships.
  • Fragmented communication with the patient.
  • No platform for benefits or coupons.

Results achieved

  • Less administrative load: appointment reminders and notices go out on their own.
  • Centralized management: members, invoices, coupons and scheduling in one panel.
  • A direct channel to the patient: benefits and educational content reach the app.
  • Membership as a product: online payment and status control now live inside the system.

Strategic impact

  • The clinic digitized its membership model end to end.
  • The architecture allows scaling the club to more clinics without rebuilding it.
  • Loyalty stopped depending on someone remembering to call.
